A chatbot cannot reliably represent information your business has not organized. Preparation starts with deciding which answers are approved and who keeps them current.

Gather the essentials

Collect current service descriptions, hours, locations, contact methods, and the steps for requesting help. Include policies only when they are accurate and suitable for public use.

Remove outdated offers and contradictory versions. A collection of old documents can introduce more confusion than a short, maintained reference.

Write the boundaries

Specify which questions require staff involvement. Common examples include custom quotes, contract exceptions, sensitive account matters, and uncertain availability.

Decide how the assistant should respond when information is missing. It should offer a next step instead of completing an answer with a guess.

Assign an owner

When prices, hours, or services change, someone needs to update the reference information. Keep public business content separate from private customer records and credentials.

Test with realistic questions, including ones the assistant should decline to answer. Review the result for accuracy and usefulness.

Treat preparation as a continuing editorial task. A smaller, well-maintained information base gives the assistant a more dependable foundation than an unfiltered archive.
