When Should an AI Chatbot Hand a Conversation to a Person?
Define clear handoff points before automated conversations reach their limits.

A useful AI assistant knows when another automated reply will not help. Handoff rules are part of the service design, not a failure of the chatbot.
Recognize the limits
Offer human help when the visitor requests it, the assistant lacks a supported answer, or repeated clarification is not moving the conversation forward.
Account disputes, custom commitments, and decisions outside approved business information also need appropriate staff involvement. Sensitive account access requires more than a visitor claiming a name.
Make the handoff usable
Tell the customer whether a person is available now or whether the conversation will become a ticket. Collect only the contact details needed for follow-up.
Pass along a concise conversation summary and relevant context. Keep internal notes private and avoid sending unnecessary sensitive information through notifications.
Keep responsibility visible
A handoff should have an assigned destination and a status staff can see. Otherwise, the chatbot has promised help without creating an owned task.
Track abandoned and unresolved handoffs so you can improve the process.
The objective is continuity: customers should understand who will help, what information has been saved, and what to expect next.
